Why We Built an AI Tool for Nonprofit Executive Directors
The honest origin story: a Sunday afternoon, a blank board report, and a realization that this was happening every quarter.
The idea for Nonprofit Copilot started on a Sunday afternoon in October 2023. The board meeting was in two days. The quarterly report was not written. There were three unanswered grant portal messages. And the personnel policy update that a board member had asked for two months earlier was still an empty Word document sitting on the desktop.
This was not unusual. As the executive director of a small community health nonprofit, this was just what Sundays looked like.
The math never worked out
The programs were running well. Funders were happy. Staff were engaged. But the paperwork consumed somewhere between 10 and 15 hours a week that should have been going into mission work. Board packets, grant reports, policy drafts, meeting follow-ups. Every week, the same grind.
The frustrating part was that none of it was intellectually hard. It was just time-consuming. Writing the same kind of executive summary for the fourth quarter in a row. Translating program numbers into grant report language. Finding the right tone for an HR policy that a three-person staff would actually read.
When large language models became genuinely good at writing in 2023, the first instinct was to try ChatGPT for a board report. It worked, but barely. The prompts had to be detailed. The output needed restructuring. ChatGPT had no memory of the organization, so the same context had to be rebuilt every single time. It saved maybe an hour. Not enough.
What was actually needed
What the job required was a tool that understood the specific documents nonprofit executive directors write repeatedly. Something that knew what a board report needs to include, what grant officers want to see in a progress report, and what HR policies look like for a four-person team rather than a corporation.
General AI tools are powerful. But they are built for general use, which means you have to do a lot of work to get them to output something specific and immediately useful. The gap between what ChatGPT can do and what a nonprofit ED actually needs is wide.
Nonprofit Copilot was built to close that gap. The document types are fixed. The structure is built in. You provide your organization's information, and the tool produces a complete, professional document in under a minute.
What we got right and what we are still figuring out
The core document generation works well. Board reports, grant reports, and HR policies come out structured, readable, and appropriate for the audience. The Word export means you can review and adjust before anything goes to a funder or board member.
The automation module was added in 2025 so EDs can set up email reminders for board meetings and events without doing it manually every time. That is a real time-saver for anyone who manages a board calendar on top of everything else.
What we are still working on: annual report drafting, meeting minutes generation, and better funder research support. The roadmap is long because the job of a nonprofit ED is long.
If there is a specific document or workflow that would make your week easier, we genuinely want to hear about it. This tool was built from a real job. It keeps getting better because of input from people doing that job.
